SMS messaging and opt-in
How ControleHQ uses text messaging, exactly how people agree to receive it, and how to stop.
Who we are and why we text
ControleHQ is management software for Brazilian jiu-jitsu academies. Academies use it to run their class schedule, memberships, attendance and instructor rota.
Text messages are operational, not marketing. The main use is instructor scheduling: when a class needs cover at short notice, the academy texts the instructors who are able to teach it so the class can be staffed in time. We also send occasional service notices such as a class being cancelled. We never send promotional or marketing texts, and text consent is never a condition of buying anything or of using ControleHQ.
Who receives messages
Instructors, staff and members of an academy that uses ControleHQ, who have added their own mobile number to their account and then confirmed it. Nobody else is messaged. We do not buy, rent or import phone numbers, and we do not message people who have not confirmed.
How people opt in — the complete workflow
- A member signs in to their ControleHQ account at controlehq.com and opens their profile. They enter their own mobile number in the phone number field.
- Beside that field is a checkbox for text messages. It is unchecked by default and must be actively ticked. Saving the profile without ticking it stores no consent and sends nothing.
- The wording shown next to that checkbox, exactly as it appears, is:Text me about classes. [Academy Name] will text you about schedule changes and requests to cover classes. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help. See our Privacy Policy and Terms of Service.
- Ticking the box does not subscribe them either. ControleHQ sends one confirmation text:[Academy Name] via ControleHQ: confirm you want class and cover texts. Tap to confirm: https://controlehq.com/sms/confirm/[token] If you did not request this, ignore it and you will not be texted again.
- No further message is ever sent unless the recipient opens that link and presses “Yes, text me”. The confirmation is recorded with the date, time and IP address.
- If the link is not used within 72 hours it expires, the number is marked opted out, and it is not messaged. Silence is treated as refusal.
What the member sees in their profile
International format, starting with + and your country code. Leave blank to remove your number and stop all texts.
The box is shown unchecked because that is its real default. Saving without ticking it stores no consent and sends nothing.
An academy administrator may enter an instructor's number on their behalf when setting up the rota. The confirmation text and link are still required in exactly the same way. Consent is only ever recorded from the recipient confirming for themselves, never from a number being entered by someone else.

Frequency, cost, and how to stop
Message frequency varies, depending on how often the academy needs cover. We send as few messages as we can while still delivering membership and academy updates. Message and data rates may apply, charged by your mobile carrier rather than by ControleHQ.
Reply STOP to any message to stop, or HELP for help. You can also remove your number from your profile at any time. Stopping texts does not affect your membership, your account, or any other way the academy contacts you.
Your data
No mobile information is shared with third parties or affiliates for marketing or promotional purposes, and we do not sell mobile numbers. Text messaging opt-in data and consent are not shared with any third party. Full detail is in our Privacy Policy and Terms of Service.
